By joining any trip or adventure activity with us, Hiking in Himalaya, you will be bound by our Terms & Conditions mentioned below. So, kindly read them carefully before booking a trek, tour, climbing, or any kind of adventure activity with us in Nepal.

Payment Process

We need at least a 25% advance booking deposit to confirm a trip with us in Nepal. You will receive a trip confirmation mail after making the booking deposit.

You can send us a booking deposit via American Express, Union Pay, Visa, credit/debit card (MasterCard), or wire/bank transfer.

  • You can also make full payment for the trip instead of a partial booking deposit.
  • Note that we use booking deposits to get flight tickets and trek permits and make necessary reservations. So, in case you cancel the trip, we will make a refund after deducting the incurred expenses and cancellation charge. You can read more about them below.
  • Last-minute bookings are non-refundable.

1. Payment by Credit Card and Debit Card (MasterCard, Union Pay, Visa, and American Express):

We have integrated a safe payment gateway into our website. Likewise, we regularly update our tech to provide the safest payment process.

So, you use a debit or credit card to make a payment for the trip directly through our website.

Note: Your bank may charge you for international transactions, so kindly talk to them once about that. If the amount received by us is less than it is supposed to be, kindly clear it before the trip starts.

Hiking in Himalaya is not responsible for any loss caused during the wire transfer.

Make sure to double-check all details before processing the payment. Likewise, also ask about all incurred charges with your bank.

Again, if the amount received by us is less than what it is supposed to be, clear the due before the trip begins.

After making the payment, kindly mail us a copy of the remittance slip with the reference number and sender's details.

Upon receiving your mail, we will check with our bank and send you the trip confirmation mail.

If the traveler does not clear the trip payment before it starts, we can cancel the trip.

3. Final Payment/Acceptance of Booking/Client details:

If clients choose to only make a partial payment for the trip, they can clear the remaining amount upon arriving in Kathmandu.

The due must be clear before the trip starts. You can pay in cash, via card, or bank transfer.

Note: Your card may be charged for international transactions while using it in an ATM in Nepal or making payment via a posh machine. Please talk to your bank regarding all the charges your card may see while making international transactions.

Booking Policy

Travelers have to fill out our standard booking form to book any trip with us. Choose your interested trip/activity on our website and click the booking button.

It will take you to a general information page that we need to obtain permits on your behalf and make other reservations.

Then, you will be led to the booking deposit page, where you can select to pay a partial or full amount for the trip you choose.

Upon receiving your booking request, our team will verify the details, send you a booking confirmation mail, and get in touch with you.

If you want to customize the trip, you can send us your inquiry or contact us on our given number. You can mail us or send us a text/call on our WhatsApp number.

Below is the term of payment:-

  • A 25% booking deposit is mandatory to book a trip with us in Nepal. The booking deposit may vary depending on the trip. Without a booking deposit, we do not guarantee the trip, and therefore, the participant cannot hold us accountable.
  • The remaining 75% due payment must be cleared before the trip begins. You can clear it before or after arriving in Kathmandu.
  • If the amount received by us is less due to bank or third-party charges, we request our clients to clear the amount before the trip starts.
  • Failure in payment will not force Hiking in Himalaya to provide the service as per the booking agreement between the Client and the Company.

Documents for Booking

To book a trip with us in Nepal, travelers need the following documents. We use these documents to obtain permits and reserve hotel and domestic flights.

  • Scanned copy of your passport (must have at least 6 months of validity)
  • Passport size photo in jpeg format (proper for printing)

Amendments

We accept any changes to the trip in written form. So, if you want to make any changes to your trip, kindly mail us. We'll send you confirmation mail after receiving your request.

Our team will do their best to meet your new requirements. However, there is a chance we may not be able to fulfill your request (especially a last-minute request) due to time constraints.

So, we request your understanding. If we have to cancel a reservation or a cancellation charge is incurred because of a new request, the participants have to pay the additional expenses.

Note: We make reservations and book transportation in advance. If you change the trip at the last minute, there can be additional expenses.

Cancellation Policy

To cancel your trip with us, you must send an official email, and it must be acknowledged and approved by the Company (Hiking in Himalaya).

The date on which we receive your trip cancellation request will determine the applicable cancellation charge and reschedule terms.

If you reschedule the trip, you may have to bear additional charges because we have to re-book hotels, transportation, and permits.

The package cost is non-refundable if you willingly leave the trip in the middle or right after it starts.

If cancellation is done by the Company (Hiking in Himalaya):

If the trip is canceled by the Company (due to unforeseen circumstances that are beyond our control, such as political instability, flight cancellations, illness, war, natural disaster, government intervention, adverse weather, etc), we will provide you the option to reschedule the trip or make a full refund.

You can reschedule the same trip or choose another trip of the same value. If you decide to change your trip, there may be additional expenses as per the new itinerary. Please clear the remaining amount for the new trip before it starts.

  • The Company will not be responsible for any additional expenses if the Client takes a trip that costs more than the last package.
  • The Company is not responsible for any expenses beyond those included in our package cost. Participants must bear such additional expenses. For instance, the package does not cover personal expenses, tips, international flights, trekking gear and clothes, bar bills, and extra night stays. Therefore, we will not be liable for these expenses.

If cancellation is done by the Client (you):

  • Cancelling 40 days or more before departure: 15% of full payment will be deducted.
  • Cancelling 20 days before departure: 50% of full payment will be deducted.
  • Cancelling less than 7 days before departure: 80% of full payment will be deducted.

For the best return, the Client is advised to get cancellation insurance at the time of the booking.

Note - If you voluntarily leave the trip for any reason after the trip has begun, no refunds will be made by the Company. No refunds will be made for any transport, sightseeing, accommodation, meals, or services not utilised.

Hiking in Himalaya Policy for Treks and Hikes in Nepal

  • The Company is only responsible for covering expenses included in the Cost Include section of our packages.
  • The Company will not be responsible for any expenses mentioned in the Cost Exclude section of our package pages.
  • Advance booking payments are subjected to incur cancellation charges.
  • Lukla flight tickets are non-refundable but can be rescheduled.
  • If the Client opts for a helicopter flight to Lukla instead of a domestic flight at the last minute, he has to take care of helicopter flight expenses.
  • Personal expenses such as WiFi, hot shower, charging, extra food and drinks, etc, during the trek/hike are not covered by the Company.
  • If there are any additional expenses while trekking because of the participant's new requests, the Company will not be responsible for those expenses.

Hiking in Himalaya Policy for Trekking Package with Helicopter Pick-Up Request

  • All the policies that are mentioned in our Policy for Treks and Hikes in Nepal.
  • Our trekking packages with helicopter flights include a shared helicopter flight. So, you will fly with other passengers. As it is not a private charter, participants have to comply with a designated pick-up and drop-off point.
  • If the participant makes a change in the pickup point or date of pick-up, there can be additional charges.
  • If the shared helicopter flight is not available on your new pick-up date, you have the option to rent a private helicopter. The participant must bear additional expenses.

Emergency Expenses Not Covered by the Company

  • Extra nights in Kathmandu, Pokhara, or any city in Nepal (Single room USD 45 per night per person and shared room USD 25 per night per person)
  • Extra night during trekking (USD 75 to USD 85 per day- it includes accommodation, three meals a day, permit extension fee, and guide and porter expense)
  • Airport pick-up or drop-off requests out of the fixed itinerary (By car USD 30 both ways)
  • Helicopter flights
  • Extra porter
  • Supplement oxygen can
  • Horse rent (during Upper Mustang trek)
  • Extra luggage fees charged by airlines, especially during Lukla flights (USD 2 to USD 3 per kg, may differ from one airline to another)
  • Extra charge by Porter if your duffel bag weight limit exceeds the 9 kg mark
  • Hot shower, WiFi, charging, mineral water bottle, boiled water, extra meals and snacks, and bar bills during trekking

Travel Insurance

To do any trek or peak climbing with us in Nepal, foreigners have to purchase travel insurance. It must cover helicopter evacuation and medical bills. Helicopter evacuation should be eligible for trekking in Nepal, so double-check it.

Depending on your trip, the emergency helicopter evacuation should cover extraction from 3,500 meters to 6,00 meters.

Without travel insurance covering evacuation expenses, providing a rescue is tough. It can take unnecessary time as we have to ensure payment to the company.

Passport & Visa

Foreigners need a valid passport and Nepal tourist visa to travel in Nepal. The passport needs to have at least six months of validity from the day they enter Nepal. It is necessary to obtain a visa.

Travelers are responsible for obtaining their passports and visa by themselves. Hiking in Himalaya is not responsible for these documents.

Visit the related government authorities in your country to obtain these documents. Travelers from many countries can obtain a Nepal tourist visa upon landing at Kathmandu Airport.

Note that visa fees are not covered by any of our trip packages. Travelers are responsible for it.

Indian travelers do not need a passport and Nepal tourist visa. They can enter Nepal by showing their Voter ID card.

Health & Fitness Requirements

All of our trips have different health and fitness requirements. Some are beginner-friendly, whereas some require past experience and good fitness.

We recommend interested travelers pick a trip that is suitable for their health and fitness. If they pick a trip that is not suitable for their current fitness, kindly exercise and get ready for the trip before it starts.

Trekking in the Himalayas is not an easy venture. Even the famous beginner-friendly treks follow mountainous terrain and involve at least 5 to 6 hours of daily trekking.

Likewise, during trekking, trekkers also experience high altitudes, varying weather and climate, and limited tourist infrastructure. Trekkers must acknowledge these challenges and inconveniences.

  • The Company will not be responsible for making refunds or being subject to pay for inconveniences faced by trekkers during any trek or hike in Nepal.
  • We believe that trekkers who join a trek/hike with us in Nepal understand these facts and are ready to push themselves.
  • We highly recommend trekkers to read all the information mentioned on our package pages. It will help them learn about the trek's difficulty and requirements, which will help them make the right choice.
  • If you think you are not fit for your selected trek, choose the one that best suits you or keep a 4 to 5-month gap to prepare for the trek with higher challenges.

Note: If you have any health conditions that may be triggered by high altitude, Himalayan climate, environment, or terrain, kindly inform us ahead of time. Also, consult with your doctor for the best options.

Emergency and Rescue

We provide emergency rescue during trek and peak climbing expeditions in Nepal. The rescue is backed by the travel insurance you give us, so make sure you have the necessary coverage.

The Himalayas have unpredictable weather, no roadways, and no health infrastructure. Traveling from one village to another requires at least 5 to 6 hours.

Sometimes, if you are deep in the remotest corner of the region, it will take you 2 to 3 days to descend to a major village.

In an emergency situation that requires immediate rescue, we have to heavily rely on helicopter evacuation.

During the trek, if you get sick or hurt yourself, our professional mountain guide will provide you with first aid. They are trained to provide first aid and also have many years of expertise.

If your condition does not improve with first aid, we will evacuate you to a hospital in a nearby city (usually Kathmandu or Pokhara).

Note: If the travel insurance does not cover the expenses incurred during helicopter evacuation or medical assistance, the Company (Hiking in Himalaya) will not be responsible for it.

Child Policy and Underage Trekking

If you want to trek in Nepal with your toddlers or kids, make sure they are fit enough for the trip you have picked. The Company will not be responsible if the kid gets sick during the trek or can't complete it.

Likewise, trekkers below age 16 are underage. They can join a trek or tour with us in Nepal with their parents or an identified guardian.

Travel Responsibly

Our trips shouldn't harm the historical sites and nature. Therefore, we make sure all of our trips are sustainable and eco-friendly. While trekking with us, travelers have to put in extra effort to ensure their presence does not harm the environment.

From bringing our garbage down the trekking trails to making sure you are respecting locals, flora, and fauna, we do our best during our trips. Many travelers also prefer to donate money and resources to local communities through us.

In short, you will be traveling responsibly with us in Nepal. Traveling responsibly also includes your safety. We do our best to ensure your safety during the trek and tour with us in Nepal.

Additionally, travelers also have to be smart and aware of their surroundings. Walking off the main trail and wandering alone late at night in shady areas is not recommended and may jeopardize your safety. So, be a smart traveler and take care of your safety.

Use of Images and Videos

Hiking in Himalaya reserves the right to use videos and pictures taken by their guests for public and promotional purposes online without compensation.

  • We will pre-inform our guests if we use any of their pictures or videos.
  • We will give the necessary credit to the owner of the pictures and videos.
  • We only use our guest's pictures and videos as a review for our future guests.

Complaints

If you have any complaints, feel free to share them with our management team. If you have any discomfort during the trek, feel free to inform your guide. We will do our best to resolve your issue and take your feedback seriously.

Privacy

Your information is safe with us. We only use your information to obtain the necessary permits for the trip and to make a reservation. We do not use your information anywhere else.

Jurisdiction

These Terms & Conditions are governed by the Nepal government, and any disputes will be resolved in Nepal's courts.
